Marketing Administration Support

Mailing Administration

If you would prefer, you can use our mailing services. We have our own dedicated mailing team, who deal with hundreds of mailings for our accountancy clients each year. You maintain control, however we do the work, for no extra cost. More specifically:

  • We allocate you a dedicated Scheme Administrator from our mailing team
  • We produce bespoke marketing letter templates for your practice, which you approve
  • You send us your client list and letterhead (in hard copy or electronic form)
  • We administer the mailing on your behalf
  • At the end of each month we send you a cheque for any fee or commission due to you
  • All mailings are subject to rigorous internal checks to ensure that the mailing is issued accurately and on time
  • All mailings are administered in a GDPR compliant way with your data held securely and only used in connection with your scheme administration
  • Mailing can be issued in hard copy or electronically by e-mail if you would prefer

Premium Collection Services

In addition if you would like we can collect the premium for you. This option is available regardless of whether you have used our mailing service, very simply:

  • Either you mail your clients or you use our mailing services.
  • Clients make payment to us (either by cheque, BACS or online).
  • At the end of each month we send you a cheque for any fee or commission due to you.
  • Available for both regulated and non-regulated (VAT) schemes.

 

Electronic Mailings

We can also undertake e-mail campaigns or ‘hybrid’ campaigns on your behalf, an approach which has increasing popularity with our clients and includes the following features:

  • Clients are invited to renew or purchase by e-mail, with the option to pay via our Webshop and/or BACS.
  • We tailor an e-marketing plan for your practice, including pre-awareness articles.
  • At each stage we monitor the analytics and target clients who have not reacted with follow up campaigns.
  • We can provide ‘hybrid’ campaigns, with physical mailings to groups of clients or clients that do not react to the e-mail campaign.
The Vantage Fee Protection Insurance Policy covers numerous elements not covered by our previous provider. This means we have increased opportunity for greater fee recovery and less write off. We find their technical advice lines are answered quickly and the staff are highly capable. As a further benefit we like their online employment law portal. With over 400 current documents all backed up with a free and unlimited advice line. On the mailing side our clients receive a prepaid envelope. They can either pay Vantage direct, by cheque or join via a unique online sales portal reducing our administration considerably. We have always found the Vantage team to be helpful, friendly and professional.
