Marketing Administration Support

Mailing Administration

If you would prefer, you can use our mailing services. We have our own dedicated mailing team, who deal with hundreds of mailings for our accountancy clients each year. You maintain control, however we do the work, for no extra cost. More specifically:

  • We allocate you a dedicated Marketing Administrator from our mailing team.
  • We produce bespoke marketing templates for your practice, which you approve.
  • You send us your client list, letterhead and logo (in hard copy or electronic form).
  • We administer the mailing on your behalf.
  • All mailings are subject to rigorous internal checks to ensure that the mailing is issued accurately and on time.
  • All mailings are administered in a GDPR compliant way with your data held securely and only used in connection with your scheme administration.
  • Mailing can be issued in hard copy or electronically by e-mail if you would prefer.

Premium Collection Services

In addition if you would like we can collect the premium for you. This option is available regardless of whether you have used our mailing service, very simply:

  • Either you mail to your clients or use our mailing services.
  • Clients make payment to us (either by BACS, webshop or Cheque).
  • At the end of each month, we sent you any fee or commission due to you via BACS.
  • Available for both regulated and non-regulated (VAT) schemes.

 

Mailing Method

Electronic Mailings

We can also undertake email campaigns or ‘hybrid’ campaigns on your behalf, an approach which has been increasingly popular with our clients and includes the following features:

  • Clients are contacted to join the service by email, with the option to pay via our Webshop and/or BACS.
  • Each email campaign comes with attachments of your standard, or a tailor made bespoke leaflet, which your designated Marketing Administrator will produce for you. As well as a copy of a summary of service.
  • At each stage we monitor the analytics and target clients who have not reacted with follow up campaigns.
  • We can provide ‘hybrid’ campaigns, with physical mailings to groups of clients or clients that do not react to the e-mail campaign.

Hard Copy Mailings

We can also manage printed mail campaigns on your behalf — a method that work particularly well with clients less responsive to digital communications. This approach includes the following features:

  • Professionally designed letters, tailored with your branding colours and logo to join your service via BACS, webshop or cheque.
  • Letters can have a QR code which will direct your clients to a webshop, should they wish to pay through this method.
  • Every letter comes with a standard or a tailor made bespoke A4 leaflet insert, which your designated marketing administrator will produce for you.
  • Strategic follow-ups, including reminder mailings or complementary email nudges for clients who have not responded.
  • Hard copy campaigns are especially effective for reaching clients who prefer traditional communication or where physical documentation adds value.

 

Claims Portal

Our online Claims Portal enables you to make, manage and view your claims at the touch of a button. In addition, your dedicated claims handler will be on hand to assist you with expert advice and guidance as often or as little as required. Whilst our online portal allows quick and efficient administration of claims, we will still pick up the phone whenever we can to talk you through the claims process and how the Policy will react.

Email Campaigns

We can design and administer email campaigns that encourage your client to purchase or renew their Tax Fee Protection electronically. Our marketing administrators can distribute pre-awareness campaigns and use analytics to target reminders in order to achieve maximum take up of the protection. Campaigns can be interchanged with physical mailings in order to ensure everyone is covered.

Webshop

Our unique Webshops enable your clients to purchase cover directly online via your own ‘white labelled’ Webshop. We will collect payment and forward any practice commission to you, reducing your practice and client administration. Policy documents can be automatically generated for the client, and renewals can be handled directly by us, subject to your approval.
